Privacy Policy

We take your privacy seriously. This policy explains what data Eunomia Bot collects, how it is used, and how it is stored. We collect only what is necessary to provide the Service.

1. Information We Collect

Eunomia Bot collects and stores the following data:

  • Discord User ID and username — to identify users across sessions, store preferences, and deliver DM notifications
  • Direct message content (privileged intent) — Eunomia Bot uses Discord's Message Content privileged intent to read your DM replies during active application interview sessions only. Messages are read solely to record your answers to interview questions. DM messages sent outside of an active interview session are not read, stored, or processed by the bot.
  • Application answers — responses you submit through DM interview questions are stored and associated with your user ID for staff review
  • Moderation case data — warnings, mutes, kicks, and bans are logged with your user ID, moderator ID, reason, and timestamp
  • Support ticket content — messages in support ticket channels may be stored as transcripts when a ticket is closed
  • Bug reports — content you submit through the bug report form, including your username and Discord avatar
  • Notification preferences — your DM notification settings toggled via /preferences
  • Server configuration — role IDs, channel IDs, and category settings configured by server administrators

We do not collect passwords, email addresses, payment information, or any data beyond what Discord makes available through its API. We do not read or store message content from server channels.

2. How We Use Your Information

The data we collect is used solely to provide and improve the Service:

  • Delivering DM notifications about application results, ticket updates, and moderation actions
  • Allowing server staff to review applications and make decisions
  • Maintaining moderation case logs for server safety
  • Displaying your application history through the /mytickets command
  • Sending bug reports to the developer for review and resolution

We do not sell, rent, or share your data with third parties for advertising or marketing purposes.

3. Data Storage and Security

All data is stored locally on the Eunomia Bot server in JSON files. We take reasonable precautions to protect stored data, including restricting server access. However, no system is completely secure and we cannot guarantee absolute security.

We retain different types of data for different periods:

  • Application answers — retained until the server removes the bot or a deletion request is made by the user or server administrator
  • Moderation cases — retained for server safety and accountability purposes; may be retained for up to 2 years or until a deletion request is made
  • Support ticket transcripts — retained for 90 days after ticket closure, then automatically eligible for deletion
  • Bug reports — retained until the issue is resolved and marked closed, after which they may be deleted
  • User preferences — retained as long as you interact with the bot; deleted upon request
  • Dashboard session data — expires after 24 hours automatically

4. Dashboard Authentication

The Eunomia Bot dashboard uses Discord OAuth2 for authentication. When you log in, Discord shares your username, user ID, avatar, and guild list with us. This data is stored in a temporary session cookie and is not persisted beyond your session. We do not store your Discord access token.

5. Data Shared with Discord

Eunomia Bot operates on Discord's platform. By using Discord and interacting with the bot, your data is also subject to Discord's Privacy Policy. We have no control over how Discord handles data on their platform.

6. Children's Privacy

The Service is not directed at children under the age of 13. We do not knowingly collect data from children under 13. If you believe a child under 13 has submitted data through the Service, please contact us immediately and we will delete it promptly.

Eunomia Bot operates on Discord, which requires users to be at least 13 years old. Users must comply with Discord's Terms of Service to use this Service.

7. Your Rights

You have the right to:

  • Request a copy of the data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data (subject to legitimate moderation record-keeping needs)
  • Opt out of DM notifications using the /preferences command

To exercise these rights, submit a request through the contact form or via Discord. We will respond to deletion requests within 30 days.

8. Cookies

The Eunomia Bot dashboard uses a single session cookie to keep you logged in. This cookie is essential for the dashboard to function and expires after 24 hours or when you log out. We do not use tracking cookies or third-party analytics cookies.

9. Changes to This Policy

We may update this Privacy Policy from time to time. The "last updated" date at the top of this page reflects when changes were last made. Continued use of the Service after changes constitutes acceptance of the updated policy.
